
Privacy Policy
At the Holiday Inn Express-Rehoboth beach we are committed to maintain the strictest confidentiality of the information we gather.
When an individual becomes a guest of the Hotel for the first time and for each visit thereafter, we indicate on the registration card that we collect:
- The name, address, telephone number and, sometimes, the electronic address in order to establish the identity of the client, forward any correspondence related to their stay, for example, reservation confirmation, billing, as well as send them news on the hotel and our special promotions.
- The credit card number or the name and address of their employer in order to process the payment of their bill.
- Personal preferences, for example, smoking or not, room type . . in order to offer a first class service.
- The membership number to a frequent stay program, for example, Priority Club…in order to credit their account with their nights stay accordingly.
We also on occasion ask our clients to express their opinion of our services and products. We indicate on the comments card to be completed that the information gathered is solely for the purpose of improving the quality of the service and product. It is very important that the information collected not be used for purposes other than the ones communicated to the guests. As such, we must get the guest's consent before:
- Forwarding a copy of their invoice by fax or to a third person if it has been settled by the guest himself.
- Communicating their name and address to third parties for marketing purposes.
- Disclosing personal information to third parties, unless obligated by law.
- Using personal information in any other way than informed.
The personal information collected is stored electronically and on paper. Their security is insured by the following:
- Only the employees of the Front Desk, Reservations, Accounts Receivable and Sales, as well as the General Manager, the Systems Manager and the Security Director have access to the information. Users names and passwords prevent unauthorized access to the system and terminated employees are immediately removed from the users lists
- Registration cards, credit card slips and invoices are kept in accounting. The office is locked outside of office hours.
- The employees who have access to out guests personal information are informed on how to insure confidentiality. Each employee must sign an agreement under which not divulging confidential information constitutes an employment condition at the Holiday Inn Express.
- The documents listed above are archived for 7 years as required by law. They are kept in an archive room located in the hotel for a period of one year after which time they are sent outside to a company specialized in the storage of documents. After the legal period, they are destroyed by this company according to norms that comply with our security requirements.
Our clients may examine the information kept on them for the purpose of verifying, updating or correcting them as well as eliminating data that are outdated. Requests must be made in writing to the person in charge of the enforcement of the Act, namely the Financial Controller. All requests will be handled within 30 days.
